Role Overview
We are looking for a proactive, organised, and confident Event Manager to help deliver The Jazz Room live music experience in Southampton.
As the on-site lead, you will oversee the smooth running of the event from setup to pack down. You will coordinate staff, support the band and venue team, manage guest flow, and ensure visitors enjoy a seamless and welcoming live jazz experience.
This is a hands-on role suited to someone who enjoys working with the public, managing live events, and keeping operations running smoothly in a performance environment.
Key Responsibilities
🎵 Event Operations
Oversee daily event setup, including décor, seating, and performance space preparation.
Coordinate event timings, including doors opening, performances, and session changeovers.
Deliver pre-show and post-show announcements and ensure the schedule runs smoothly.
🎟 Ticketing & Guest Flow
Manage guest check-in and ticket scanning using the Fever Partners app.
Supervise event assistants and stewards during entry and seating.
Ensure guest flow is smooth and handle any ticketing or entry issues.
👥 Team Coordination
Lead and support Event Assistants throughout the shift.
Deliver short staff briefings and ensure everyone understands their responsibilities.
Manage staff breaks and maintain a positive, organised working environment.
🔧 Technical & Venue Coordination
Liaise with the venue technician and band during setup, sound check, and performances.
Ensure the stage, equipment, and event space are ready and safe before guests arrive.
Assist with décor setup including candles, lanterns, and stage ambience.
🛡 Health & Safety & Guest Experience
Ensure safety procedures are followed and the venue remains safe for guests and staff.
Act as the first point of contact for incidents, guest concerns, or operational issues.
Create a welcoming atmosphere and ensure guests enjoy the experience.
📝 Communication & Reporting
Provide post-show notes and feedback to the production team.
Ensure equipment and props are packed away correctly and the venue is left in good condition.
